This policy explains what we collect, why, who sees it, and how to make us stop.
What we collect, and how
You give it to us. Name, phone number, email address, property address, and what you want done, through the contact form on our website, a phone call, a text message, or in person at your home. If you sign a proposal, we also hold your electronic signature, the date and time you signed, and the version of the document you saw.
It comes from the work. Photographs of your property, measurements, inspection notes, material selections, schedule dates, invoices and payment records. Payments record the method (check, card, ACH or cash) and a reference such as a check number. We never store card numbers. Where we accept cards, a payment processor holds the card and we hold only a token.
It arrives automatically. Our website is hosted by Netlify, which records standard server logs: the address a request came from, the page requested, and the time. Our contact form is protected by a hidden field that catches automated submissions; it collects nothing about you.
We do not run an advertising pixel, and there is no chat widget. There is no Meta pixel, no Google Analytics, no session recording and no call tracking on this website, and it loads no third-party scripts of any kind. If that changes, this section changes with it before the change goes live.
Why we collect it
To answer your inquiry, inspect your property, price the work, send you a proposal, schedule the job, keep you informed while it runs, invoice you, record your payment, honor your warranty, and meet the record-keeping requirements Virginia places on contractors.
Text messages, and what we do with your phone number
If you give us your phone number, we may text you about the work you asked for: confirming an appointment, telling you an estimate is ready, sending a verification code when you sign in to your project portal, and letting you know when an invoice has been sent. Our messages come from (703) 372-9241. Message frequency varies with your project. Message and data rates may apply.
Reply STOP to any message to stop receiving them. Reply HELP for help, or reach us at support@diamondexteriorsva.com or (571) 234-2030. Opting out of text messages does not affect your project. We will call or email you instead.
Separately, you may choose to receive occasional offers and reminders. That is an unchecked box, it is never a condition of doing business with us, and it can be withdrawn the same way.
We do not share or sell your mobile phone number, or your consent to be texted, with anyone for their own marketing. No exceptions, no affiliates, no partners. The only parties that ever touch it are the vendors listed below who send messages on our behalf, and they may not use it for anything else.
If you check the box asking to join our email list, we will send occasional updates and offers. Every one of those emails carries an unsubscribe link, and unsubscribing takes effect immediately. Email about a project you have with us, such as your proposal, your schedule or your invoice, is not marketing and continues regardless.
Who else sees your information
Only these, and only to do a job for us:
- Our messaging and email providers, to deliver the texts and emails we send
you.
- Our software and hosting providers, who store the records that run our
business.
- Subcontractors and suppliers, where the work requires it. A supplier
needs a delivery address; a crew needs to know which house.
- Our accountant, insurer, bonding company, or attorney, where a
professional needs a record.
- A government body, where the law requires it.
We do not sell your personal information. We do not trade it, rent it, or hand it to a data broker.
How long we keep it
Project records, meaning proposals, contracts, invoices, payments, photographs and warranty terms, are kept for seven years after the work is finished. A written contract can be sued on for five years in Virginia, and a claim about defective construction can be brought for five years after the work was performed, so seven years means the record still exists when a question arrives.
Phone numbers, email addresses and the record of what you agreed to receive are kept for as long as you are a customer and for four years afterward. We keep the record of your consent even after you opt out, because that record is the proof we had permission at the time and that you withdrew it.
Inquiries that never became a project are kept for two years.
What you can ask us to do
Write to support@diamondexteriorsva.com and we will, within a reasonable time:
- tell you what we hold about you,
- correct anything that is wrong,
- delete what we are not required to keep,
- stop texting you, emailing you, or both.
Children
Our services are for homeowners. We do not knowingly collect information from anyone under 18.
Security
Records are held in access-controlled systems, encrypted in transit, and reachable only by people who need them. No system is perfect, and we will not claim ours is.
Changes
If this policy changes we will change the date at the top. If a change is material we will say so on our website.
